Lesson Cancellation & Rescheduling Policy

 

We understand that life happens, and sometimes plans change. However, to ensure fairness to both our instructors and other families, we have a strict cancellation and rescheduling policy.

Client Cancellations:

  • 24-Hour Notice Required: If you need to cancel or reschedule a lesson, you must provide at least 24 hours’ notice via text, email, or phone call. This allows us to adjust our schedule and offer the slot to another family.
  • Last-Minute Cancellations: If a lesson is canceled within 24 hours of the scheduled time, it will be charged in full and will not be eligible for a makeup lesson.
  • No-Shows: If a client does not show up for a scheduled lesson and has not provided prior notice, the lesson is considered forfeited, and no credit or reschedule will be offered.

Instructor Cancellations:

  • If an instructor needs to cancel a lesson due to illness, an emergency, or a scheduling conflict, we will notify you as soon as possible and provide an option to reschedule or apply a lesson credit for a future session.

Since we are a mobile swim academy, we are directly affected by outdoor weather conditions. Lessons will continue in most conditions, except when safety becomes a concern.

Weather-Related Cancellations & Guidelines:

  • Lessons Continue in Light Rain – We will proceed with lessons in drizzle or light rain, as long as visibility and safety are not affected.
  • Thunderstorms & Lightning (Within 10 Miles) – If thunder is heard or lightning is seen within 10 miles, lessons will be canceled immediately.
  • Cold Water Temperatures– Lessons will be rescheduled if the pool water is too cold for safe learning.
  • High Winds & Severe Weather Alerts – In the event of a tornado watch, severe thunderstorm warning, or other extreme weather conditions, lessons will be canceled for safety reasons.

How Clients Will Be Notified:

  • If a lesson is canceled due to weather, you will receive a text at least 1 hour before your scheduled time.
  • Rescheduling options will be offered based on availability.

At Madison Swim Academy, we do not offer refunds for missed, canceled, or unused lessons. However, we do provide the following options for clients:

  • Lesson Credit: If a lesson is canceled with proper notice (24+ hours), the payment will be applied as a credit for a future lesson.  If makeup lesson is not used  within 3 weeks of the scheduled time, it will be charged in full. 
  • Medical Exemptions: If a child is unable to continue lessons due to a medical condition or injury, refunds may be considered on a case-by-case basis with confirmed documentation from a doctor.
  • No Refunds for Weather Cancellations: Because weather conditions are out of our control, lessons canceled due to severe weather will be rescheduled or credited, but no refunds will be issued.

Payment Requirements:

  • Clients will receive an invoice on the 15th of the month before their scheduled lessons. Payments are due by the 1st of the following month or before their first lesson begins. If payment is not received on time, lessons may be forfeited.
  • Accepted Payment Methods: We accept PayPal, CashApp, Apple Pay, cash, and checks.

Booking Guidelines:

  • Clients are required to book four weeks of lessons by the 15th of the month prior to their start date.
  • A minimum of 8 lessons is required. If a client wishes to book additional lessons beyond the required 8, they must contact us at least 2 weeks before their 8th lesson to arrange additional sessions.
  • Makeup Lesson Credits: If a lesson is canceled and a credit is issued, the client must book their makeup lesson within 3 weeks. If the credit is not used within this timeframe, it will expire with no refund.

Because Madison Swim Academy offers mobile lessons, it is the client’s responsibility to ensure that their pool meets the following safety and maintenance standards:

  • Pool Must Be Clean & Ready for Use: The pool should be free of excessive debris, algae, or unsafe conditions before the lesson begins.
  • Pool Temperature: Water should be comfortable for effective learning. If your pool is not heated, please confirm that the temperature is suitable before the lesson.
  • Safety Barriers & Supervision: If your pool does not have a fence or safety gate, a parent or guardian must be present throughout the entire lesson.
  • Adequate Shallow Area: If your pool does not have a shallow area where children can stand, please inform us in advance so we can adjust lesson techniques accordingly.


  • If a child is sick (fever, vomiting, diarrhea, contagious illness), they should not attend their swim lesson.
  • Clients should notify us as soon as possible if their child is feeling unwell. If canceled with 24+ hours' notice, the lesson can be rescheduled.
  • If a child appears sick during a lesson, the instructor may end the session early for safety and health reasons.

  • With parental consent, we may take photos or videos during lessons for use on social media, website promotions, or training materials.
  • If you prefer that your child’s image not be used, please notify us in writing before the lesson.

  • All clients must sign a liability waiver before participating in swim lessons. This form acknowledges that swimming carries inherent risks and that Madison Swim Academy and its instructors are not liable for accidents, injuries, or pool-related incidents beyond our control.

  • Instructors are trained in CPR, first aid, and emergency response to ensure safety in case of an accident.
  • In the event of a medical emergency, we will call 911 immediately and notify the parent/guardian.

  • Clients who refer a friend will receive a $5 discount on their next lesson.
  • Referral discounts apply only if the referred client books and pays for their first month.
  • Discounts cannot be combined with other promotions.
